Instrument Rental Office

Each year, IPSF rents over 2,400 high quality musical instruments at affordable prices to students in the Irvine Unified School District. Proceeds support music programs across the district. The Instrument Rental program offers parents a less expensive alternative to purchasing a new instrument that may only be used for a short time. This innovative program has raised more than $1 million over the years to support Irvine’s music program.

We are so excited to be part of your musical experience this year. Whether you need to rent, size up or exchange an instrument, or have your current one tuned up, IPSF’s Instrument Rental office is open and here to assist you with all your needs from maintenance to supplies.

Current Hours

The Instrument Rental office is open Monday – Friday, 10:00 a.m. – 4:00 p.m. for returns, new instrument rentals, repairs, size-ups, and exchanges.

Frequently Asked Questions

Instruments are reserved and upfront payment is completed by you online via the IPSF Instrument Rental website. As part of this process, you will select an appointment time on Instrument Rental Day to pickup your instrument order. Reservations can only be made when the appointment window is open.  

Reservation Steps 

  • Create a parent/guardian account and add a student profile to your account.
  • Follow the steps presented to select an available time on Instrument Rental Day to pick up your instrument order and select an instrument for your student along with any books/accessories.
  • Verify your Optional Instrument Assurance selection.
  • Select your rental term and electronically sign necessary agreements.
  • Complete checkout with credit card payment. 
  • Receive a confirmation email with your order details.

When You Are Making Your Instrument Reservation Online 

  • There is a time limit for your instrument transaction. If your session is inactive and is not extended, the instrument will be put back into inventory.
  • A credit card is mandatory to rent an instrument. 
  • You will be asked to choose the condition of instrument you will be renting, see pricing for specific instruments here:
    • New instruments are brand new and have never been used. 
    • Standard instruments are previously used. These may have some cosmetic flaws. On standard string instruments cosmetic flaws include very minor scratches, chips and/or professionally mended cracks, none of which affect sound quality or playability. 
    • Fair instruments are older “well loved” instruments with multiple cosmetic flaws that do not affect the sound quality or playability of the instrument.
  • If the instrument you choose is not available, try choosing a different condition of the same instrument. You may also join the Interest List for the unavailable instrument you want to rent. You will be contacted via email if the instrument becomes available or with information for our partnership with a local store to help fulfill rentals in the week following Instrument Rental Day.
  • The Instrument Assurance Program is an optional add-on for all rentals. For a monthly fee of $5.00, IPSF will repair damaged instruments or replace lost or stolen instruments, contingent on the monthly instrument rental and assurance payments being paid timely and in full. Families remain responsible for intentional or reckless damage to the instrument. Additional terms and conditions apply.
  • You will be able to rent one instrument for each of your students.
  • Books, accessories and other supplies are also available for purchase during the session.
    • Upon successful checkout, you will receive a confirmation email detailing your order. 

Inventory is only visible during the official Instrument Rental reservation window, open from Tuesday, September 1 at 9:00 a.m. until Thursday, September 3 at 11:59 p.m. A reservation is required for all new rentals. 

Our inventory is updated at the start of the rental window for the events we hold for Year Round and Traditional schedule schools. Once our website is updated, you will be able to view available instruments to rent and reserve a pickup time during either the Year Round or Traditional rental event pickup days. 

You may also add required books and optional accessories to your cart during this time.  

For families with multiple students, you will be able to set up students on your account and will be able to reserve instruments for each student.  

If IPSF rentals are fully reserved, our trusted partners at Bertrand’s Music help ensure every student has access to the instrument they need. A portion of every instrument rental supports IPSF programs that enrich learning and strengthen music education in Irvine schools.

Yes, an account is needed for every rental customer. This allows us to more accurately track our rentals and also gives us the ability to better serve your needs for any future rentals. If you made an account with us in prior years, you will need to create a new parent/guardian account and student profile since we are using a new Instrument Rental Website. 

You can absolutely book your rental online. Our Instrument Rental website allows you to quickly and easily reserve your instrument, purchase supplies and complete upfront paymentThere is no need to call our office unless you have questions or need additional information. Instrument Assurance Program

The Instrument Assurance Program is an optional add-on for all rentals. For a monthly fee of $5.00, IPSF will repair damaged instruments or replace lost or stolen instruments, contingent on the monthly instrument rental payments being paid timely and in full. Families remain responsible for intentional or reckless damage to the instrument. Additional terms and conditions apply.  

Monthly Option

When you pick up the instrument, you will be charged a non-refundable deposit equal to three months of rental fees. If you select monthly payments, your designated credit card or bank account will be automatically charged beginning three months after the rental date and will continue as long as you have the instrument, even if your child is not using it.

Yearly Option

Conveniently pay for the entire school year upfront. After the initial term is over, you will be charged the monthly rental amount for your instrument each month for as long as you have the instrument, even if your child is not using it.

All repairs must be done by Irvine Public Schools Foundation. If your instrument is in need of service or repair, please contact us or visit the office during our current open hours. Please note that you are responsible for any damage or repairs needed to the instrument while it is in your possession.

Instrument Assurance Program

If your student needs the next size string instrument or your student has decided that they would like to change to a flute, clarinet, alto saxophone, trumpet, trombone, or baritone: Come to the IPSF Instrument Rental Office to exchange or get a bigger size.

No appointment needed for size ups or exchanges.

Open Monday, July 27 to Friday, July 31 from 10:00 a.m. – 4:00 p.m.

Strings: All students must be sized by their music teacher in class. Come to the IPSF Instrument Rental Office after your student is sized. There will be no sizing in the IPSF office.

After checking in, you will pick up pre-purchased supplies, receive your instrument, and visit with a music teacher for any questions or to attach shoulder rests for string instruments. Additional supplies will be available for purchase.

Please confirm your appointment date and time before arriving by reviewing your email confirmation or by visiting your account dashboard. Appointments are carefully scheduled so every family can be served on time – arriving early or late may result in a wait.

To ensure the health and safety of our families, all instruments are cleaned and disinfected per NAMM and NFHS guidance.
